Effective October 27, 2026
This policy explains what information Ringorra LLC ("Ringorra", "we", "us") collects, how we use it, and the choices you have. It covers our website, our customers (the businesses that use Ringorra) and the people who call those businesses. It is also our notice at collection under California law.
1. Information from our customers
- Contact details you give us, such as your name, business name, email and phone number, when you book a call or sign up.
- Business information you give us during onboarding, such as hours, services, prices, staff names and the numbers we should transfer calls to.
- Billing information. Payments are handled by Stripe. We do not see or store your full card number.
- Messages you send us and notes and recordings from our calls with you.
2. Information from callers
When someone calls a business that uses Ringorra, we process that call for the business. This includes:
- The caller's phone number, caller ID name, and the time and length of the call.
- A recording and a transcript of the call. The business is responsible for giving callers any notice of recording the law requires.
- Anything the caller says, such as their name, address, the reason for the call and appointment details.
- Summaries and notes our AI creates from the call.
For running each business's receptionist, we act as a service provider to that business, and questions about how the business uses caller information should go to that business first.
3. Information from our website
Our website and hosting provider keep basic technical logs, such as IP address, browser type and the pages visited, to run and protect the site. Our booking page is provided by Calendly, which has its own privacy policy.
4. Cookies
Our website uses only the cookies and local storage needed for it to work. We do not use advertising cookies or cross-site tracking. Calendly may set its own cookies when you use the booking page. You can block cookies in your browser settings, though some features may not work.
5. How we use information
- To build, run and support each customer's AI receptionist.
- To send call summaries, messages and transfers to the business.
- To call and text you about your receptionist when you ask for a demo on our website, including with an AI voice and automated technology. Say "stop" on a call or reply STOP to a text anytime, and we will stop.
- To review calls, fix mistakes and improve how receptionists answer.
- To train and improve our AI models (see section 6).
- To bill customers and communicate with them about their account.
- To meet legal obligations, enforce our terms and prevent abuse.
6. AI training
We use call recordings, transcripts and related call details from all of our customers to train, fine-tune and improve our own AI models, prompts and setup methods. Lessons learned from one business's calls are used to improve the receptionists we build for other businesses.
- Before using data for training, we remove or mask names, phone numbers and other details that identify a caller or a business where it is practical.
- We never share one customer's business information or call content with another customer.
- Information that has already been used to train a model may stay in that model in a form that cannot be traced back to a person, even after the original recording is deleted.
The outside AI providers that process calls for us have their own policies on whether they use data for training.
7. Who we share information with
We share information only with providers that help us run the service, and only for that purpose. These include our voice AI and phone line providers, the AI language model providers that power the receptionist, our database and hosting providers, Stripe for payments, Google for email, Calendly for booking, and any calendar or CRM a customer asks us to connect. We may also share information if the law requires it, to protect our rights or someone's safety, or as part of a sale or merger of our business.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not done either in the past 12 months.
Connected calendars and CRMs, including Google. When a customer connects Google Calendar, Outlook, Jobber, HubSpot or GoHighLevel, we use that access only to run their receptionist: we read free and busy times to offer callers open slots, create the appointments callers book, and add callers and call notes to their CRM. We do not read, change or delete their other events or records, and we keep only the access tokens and the IDs of the items we create. The customer can disconnect at any time from that provider's settings, and we then delete the tokens.
Ringorra's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to develop, improve or train AI or machine learning models, we do not use it for advertising, and we do not sell it or let people read it except with the customer's permission, for security, or where the law requires.
8. Categories of personal information (California)
In the past 12 months we have collected the following categories of personal information, from customers, callers and website visitors:
- Identifiers, such as name, email, phone number, address and IP address. Used to run the service and contact customers. Shared with our service providers.
- Commercial information, such as plans purchased and billing history. Used for billing. Shared with Stripe.
- Audio and electronic information, such as call recordings and transcripts. Used to run the service and to train and improve our AI. Shared with our voice AI, AI model and hosting providers.
- Internet activity, such as pages visited on our website. Used to run and protect the site. Shared with our hosting provider.
- Professional information, such as a customer's business name and role. Used to set up and run the service. Shared with our service providers.
- Sensitive personal information only if a caller says it during a call. We do not use it to infer characteristics about anyone.
9. How long we keep it
We keep call recordings, transcripts and customer data while the customer's account is active. After a customer cancels, we delete or de-identify that data within 90 days, unless we need to keep some of it to meet legal, tax or billing obligations. Billing records are kept for up to 7 years. A customer can ask us to delete specific calls sooner. De-identified data and trained models may be kept after that.
10. Security
We use access controls and encrypted connections, and we limit access to the people who need it to run the service. No system is completely secure. We will notify affected customers if we learn of a breach that affects their data, as the law requires.
11. Your rights
Depending on where you live, including in California, you may have the right to:
- Know what personal information we have about you and how we use it.
- Ask us to correct or delete it.
- Opt out of the sale or sharing of personal information. We do not sell or share it.
- Not be treated differently for using these rights.
To make a request, email ops@ringorra.com. We will verify your identity before acting and respond within 45 days. You may use an authorized agent, who must show us your written permission. If you called one of our customers, we may pass your request to that business, since they control that data.
12. Children
Our service is for businesses. We do not knowingly collect information from children under 13 except where a child calls a customer's business line.
13. Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change is significant, we will email our customers before it takes effect.
